This position assists the TRIO pre-college programs' of Educational Talent Search (ETS) and Upward Bound (UB) Directors and advising staff in carrying out the responsibilities for the efficient operation of the federally funded ETS and UB programs. This position provides support for coordinating program communications, general office oversight, marketing materials, processing applications, maintaining budget processing, assistance with coordinating program events, data base maintenance and assistance with reporting and documenting in compliance with federal, state, and university regulations; and will perform other duties as assigned. This position does not have the option to telework and will serve both programs with tasks as needed. Split is 70% ETS and 30% UB. At the request of the Administrative Assistant, there may be consideration for reduced summer hours if desired.

Minimum Qualifications

  • Customer Service: Customer services skills sufficient to actively listen, understand needs, and provide accurate information with appropriate alternatives in a timely, thorough, courteous, respectful, and professional manner in person, over the phone, and in writing.

  • Communication: Written and verbal communication skills sufficient to write, prepare, and edit materials such as memos, procedures, reports, presentations, etc., and clearly explain, discuss, communicate, and present complex ideas, regulations, policies and procedures to students, parents, staff, and senior managers.

  • Computer: Skill in MS Word, Access, and Excel, and other software applications to prepare, create, format, edit, print, save and/or attach a variety of documents, including emails, memos, reports, letters, presentations, spreadsheets, tables, charts, graphs, in an efficient and timely manner.

  • Organizational skills: Organizational skills sufficient to work in fast paced environment and manage multiple projects and stay focused through frequent interruptions while still delivering results and meeting deadlines.

Preferred Qualifications

  • Demonstrated commitment to fostering a diverse working and learning environment.

  • Extensive experience with Excel and knowledge of full Microsoft office suite.

  • Experience with budget records, purchasing, contracts, and workflow.

  • Ability to embrace changes in technology, campus resources and personnel, the adjustment of office priorities and responsibilities, and integrate changes into current procedures and operations.

  • Demonstrate ability to exercise initiative, flexibility, and effectiveness in solving problems while working within the boundaries of program and university guidelines.

  • Knowledge of bookkeeping practice and procedures.

  • Skills in desktop publishing or other sources of design to create program materials.

This position requires a valid, applicable driver’s license, as well as a DVS records check with an acceptable rating.
